FRONT OFFICE PERSONNEL JOB DESCRIPTION
PURPOSE OF THE
JOB
To provide positive and cordial interactions for union members, visitors and external clients in the office and out of office.
KEY DUTIES AND RESPONSIBILITIES
- Welcoming the visitors into the union office by formally receiving the them and guiding them as appropriate
- Schedule and confirm appointments for clients and visitors.
- Handling queries and complaints via phone, email and general correspondences
- Taking and ensuring messages are passed to the appropriate staff members and officials in time
- Receiving, sorting, distributing and dispatching daily mails
- Coordinating internal and external union events and activities
- Managing office inventory such as stationery, equipment and furniture
- Offering and supporting basic office services like cleaning and general maintenance of the office
- Monitor and control access to the building and report any suspicious activity or security concerns to the appropriate authorities.
- Maintain visitor logs and issue visitor badges as required.
- Any other work-related duties as assigned
MINIMUM QUALIFICATIONS
Diploma in secretariat studies, public relations, front office management,
business management or any related field
EXPERIENCE
Proven experience in a front office or customer service role for over 2 years.

- Warm outgoing personality, with the ability to interact effectively and in a supportive manner with persons of all backgrounds.
- Able to work independently and as part of a team
- Highly organized, good planner, keen and alert to details

- Proficient in MS Office Suite (Word, Excel, Outlook).

INFORMATION AND COMMUNICATION TECHNOLOGY PERSONNEL JOB DESCRIPTION
Job Title : ICT TECHNOLOGIST
Department : ICT
PURPOSE OF THE JOB:
To spearhead technological developments in information technology, and leverage technology to meet KUCO’s needs and champion optimal Information Communication Technology systems and projects.
KEY DUTIES AND RESPONSIBILITIES:
- Monitoring daily ICT operations, including server hardware, software, and operating systems.
- Coordinating technology installations, upgrades, and maintenance.
- Selecting and purchasing new and replacement hardware and software, when necessary and in liaison with the CEO.
- Testing, troubleshooting, and modifying information systems so that they operate effectively.
- Responsible for all internal and external electronic communication networks wide area networks (WAN) and local area networks (LAN) that link systems in KUCO, including the hardware e.g. desktop computers, printers, laptops and software systems e.g. email systems and applications
- Customize ICT systems into an interactive infrastructure which enables faster access to data and information and the sharing of ICT resources by union members and management.
- Put in place measures which ensure security, privacy and integrity of union data
- Promote development and maintenance of paperless office systems & efficient document filing and archiving solutions
- Assuring all IT activities are performed within the parameters of applicable laws, codes, and regulations.
- Evaluating technology risks in order to develop a network disaster recovery plan and backup procedures.
- Cybersecurity- Implement and manage security protocols to protect the organization’s IT assets and stay updated on the latest cybersecurity threats and best practices.
- Perform any other work duties as assigned
Digital Marketing
- Plan and execute digital (including email) marketing campaigns
- Design, maintain and supply content for the union’s website.
- Optimize content for the website and social networking channels such as Facebook, Twitter, Instagram, etc.
- Track the website traffic flow and provide internal reports regularly
- Edit and post content, videos, podcasts, and audio content on online sites.
- Promote the union’s services in the digital space.
MINIMUM QUALIFICATIONS:
Diploma in information technology, computer science, software engineering, or a related field.
At least two (2) years working experience with in depth exposure to computer hardware, software and network applications
REQUIRED KNOWLEDGE, ABILITIES AND PERSONAL ATTRIBUTES:
- Experience with computer networks, network administration, and network installation.
- Proficient in computer hardware, cabling installation and support, wireless technology applications and interface, and IT security.
- Abreast with advances in technology and industry best practices.
- Multi-tasking and time-management skills, with the ability to prioritize tasks.
- Highly organized and detail oriented.
- Excellent analytical, trouble shooting and problem-solving skills.
- Flexible working hours.
- Able to work independently and adhere to strict deadlines.
